The Hubbard Management System includes reference to a "Val Docs" file which is used as follows:

Copies of contracts, agreements or legal papers connected with the person are filed in tghe personnel files. The originals of such papers are kept in the Val doc files.

HCOPL 31 July 1983R Issue I, Basic Management Tools, Pg. 291 Mgt. Series Vol 1.

Vibrant Life Company Policy calls for a specially designated file cabinet that is used for maintaining "valuable documents" which include:

  1. Legal Papers, contracts, leases, partnership agreements, similar.
  2. All documents related to a specific international shipment of goods into Vibrant Life and likewise for our "bulk shipments" to outside the US. This would not include shipment (such as by Fed Ex) on consumer purchases from some non-US location.
  3. Some record of "batch numbers" of each shipment to us of products (such as MSM, Life Glow, etc.), including the date the batch was sold. In this way we can always learn about a specific unit of our products, get the "batch number" and know when it was manufactured and received by us.

Every separate item kept in this file should have on it, or attached, a reference to the date of the document.

The "holding period" for these types of val docs is seven years. After seven years this type of document may be destroyed, or if applicable, transferred to "Historical Files" which are kept forever.
